Answers to Your Questions
Choosing a Therapist
How do I select a therapist?
We have different therapists for different needs and different ages. If you visit the meet our team page, you will be able to see the counselors that work with a specific demographic as well as the areas they specialize in. If you visit that therapist’s profile page, there are more details available.
What if I need more help?
If you need more assistance visit the contact us page and send us a request with the ages of anyone under 18. Please include the reason you are seeking counseling and if you have day or time preferences for an appointment.
Can I contact the therapist directly?
Absolutely. On each profile page there is an email address and phone number. Email is best.
Appointments
Requesting an appointment
When you click a button titled “Request an appointment” you will be taken to our scheduling software. There you will be able to see each therapist’s availability. When you request an appointment, the therapist will either accept the appointment or reach out for more information. Once they accept the appointment, you will receive an email confirmation with a link to your client portal where you can complete the new client forms.
Note: Some of our therapists ask that you email before requesting an appointment. If you visit the team profile page for the therapist you’re interested in seeing, you can see if they have availability or ask that you contact them first.
What if I am requesting an appointment for my child?
For children and early teens, we suggest you, the parent(s), schedule the first session in your name. You can meet the therapist, talk about history, goals, treatment approaches, and discuss how to make sure you are involved in the therapy process. Once you are set up for an appointment, we can set up an account for your child/teen and make you the parent contact to manage appointments and billing.
Rescheduling
In your client portal you can reschedule an appointment up to 24 hours from the session day and time. If you are within the 24-hour window, you will have to contact the therapist directly as they manage their own schedules.
We do have a 24-hour cancellation policy (48 in some cases). Sessions canceled less than 24 hours out (48 in some cases) will be charged for the session.
Canceling
In your client portal you can cancel an appointment up to 24 hours from the session day and time. We do have a 24-hour cancellation policy (48 in some cases). Sessions canceled less than 24 hours out (48 in some cases) will be charged for the session.
In office
For in-office appointments, come into the lobby and have a seat. The therapist will come out to greet you for the appointment.
Telehealth
For telehealth appointments, you will receive a Zoom link by the morning of the appointment. Some of our therapists will send you a link to access your client portal where you will access the video session there.
What if I haven’t received a link for my telehealth session?
If you have not received a link for your telehealth session by the morning of your appointment, it is best to reach out to the therapist directly. You can find their contact information on their team profile page. If you have done this and do not hear back within a couple hours, you can text the main number, 425-947-5030.
Billing and Insurance
Do we accept insurance?
Some, but not all, of our counselors accept Premera Blue Cross and affiliated Blue Cross/Blue Shield insurance plans. Each therapist profile indicates this. We are out-of-network with all other insurance plans, including Regence Blue Shield. We will provide a superbill that you can send to your insurance company for reimbursement.
What if I have a question about charges?
You can reach our billing specialist via email, [email protected]
What if I have a question about my insurance?
We suggest contacting your insurance company if you have a question about what your policy covers. You can use a procedure code (CPT code) of 90837 and a diagnosis code of F43.20 to ask.
Fees
Each therapist has their own rate per session. You can see this information on each therapist’s profile page.
Good Faith Estimate
You have the right to receive a “Good Faith Estimate” explaining how much your health care will cost.
Under the law, health care providers need to give patients who don’t have certain types of health care coverage, or who are not using certain types of health care coverage, an estimate of their bill for health care items and services before those items or services are provided.
You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency items or services. This includes related costs like medical tests, prescription drugs, equipment, and hospital fees.
Make sure your health care provider gives you a Good Faith Estimate in writing at least 1 business day before your medical service or item. You can also ask your health care provider, and any other provider you choose, for a Good Faith Estimate before you schedule an item or service.
If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill.
For questions or more information about your right to a Good Faith Estimate, visit www.cms.gov/nosurprises/consumers.
What form of payment do we accept?
We accept Visa, Master Card, Discover. We do not accept Amex, Xoom, PayPal or Venmo.
Parent coaching
Parent coaching is not billable to insurance.
Insurance
If your therapist is in-network with Premera, we will submit the claim and let the insurance company process the claim. Once they have reported back, any out-of-pocket amount will be charged to your credit card.
Superbills
If we are out-of-network with your insurance company, we will provide a “superbill” which is a type of statement that includes everything you need to submit a claim to your insurance company for reimbursement. Superbills are generated by the 10th of each month for the previous month. For example, sessions in July would be included on a superbill available by the tenth of August. You will receive a notification when available in your client portal for download.
How can I update my credit card?
You can access your client portal by clicking any of the “request an appointment” buttons. Once there, there is an option to update your credit card.
Accessing my client portal
You can access your client portal by clicking any of the “Request an Appointment” buttons on our site. They will take you to our booking/billing software where you can enter your email address, receive a link and access your client portal.
Fees for legal services
Legal services such as appearing for a deposition, are not therapy services and therefore charged at a different rate. Legal services require a $5,000 retainer and are billed at $500 per hour. Please see the Legal Services page for details.
Fees for services outside of session time
Session fees cover therapy services provided during the therapy session. Additional work such as reading reports, completing forms, writing letters, and speaking with other professionals would be charged separately and are not billable to insurance. The rate is the specific therapist’s hourly rate billed on the quarter hour. Please contact your therapist to discuss this prior to commencing any work.
